Custom internal tools and form management systems

Bring scattered forms and records into a practical working system.

When information lives across spreadsheets, messages and paper, handovers become repetitive. We start with how a real task arrives, who handles it and what completion means, then build the forms, records and search tools you need.

Discuss your project

Does this sound familiar?

  • The same customer information is entered repeatedly, with conflicting versions.
  • Project status is buried in conversations and difficult to hand over.
  • Off-the-shelf software is too complex or misses essential fields.

What we can deliver

These are possible deliverables. Features and acceptance criteria are agreed in your project quote.

01

Forms shaped around the work

Agree on necessary fields, validation rules and data sources to reduce missing or inconsistent information.

02

Records and search

Provide agreed search, status, ownership and record views so people can find the information and see the next step.

03

Roles and data access

Define who can view, edit and export each kind of data. Authentication, permissions and sensitive data handling are scoped for the project.

04

Acceptance and handover

Test agreed work scenarios and data persistence. Clarify exports, backups and maintenance responsibilities; migration is scoped separately.

ILLUSTRATIVE SCENARIO

From a request to a possible build

Illustrative request: a studio copies incoming requests into group messages and follows up manually on quotes.

A possible build: a shared request record with contact information, an owner, a status and a searchable handover view. Fields and permissions depend on the agreed requirements.

How is pricing scoped?

Cost depends on roles, data fields, workflows, authentication, migration and integrations. Start with one useful workflow and evaluate it before expanding. Development, hosting, maintenance and third-party costs are described separately.

We clarify essential features, timing, maintenance and currency before quoting. You can start with the work you want to improve, without technical specifications.

Useful for our first conversation

  1. Show one current work scenario using fictional or anonymized data.
  2. Describe the users, common searches and steps that cause mistakes.
  3. List current tools, required import/export formats and budget. Do not send passwords or customer personal data in the initial inquiry.

Common questions

Does a small team need a full ERP?

Not always. A small request or status tool can be easier to validate. We first consider whether an existing tool can already meet the need.

Can existing spreadsheet data be imported?

We can assess an anonymized sample, field structure and volume before planning cleanup and import. Data ownership, backups and export terms should be agreed first.

Who maintains the system after delivery?

Usage notes and agreed maintenance scope are provided at handover. Correction periods, feature changes, hosting and backup responsibilities are part of the collaboration terms.
